  • Vaco is hiring for an Bilingual Administrative Assistant located in Boca Raton, FL. Ideal associate will come with 3-6months of solar experience and must speak English/Spanish fluently.

    Under the direct supervision of the VP of Business Development this position provides high-level administrative support for the VP of Business Development and sales team. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external clients as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.


    Responsibilities include:

    • Schedules and organizes complex activities such as meetings, travel arrangements, conferences, and department activities for all members of the department.

    • Acting as the point of contact between the VP of Business Development and internal/external clients.

    • Act as point of contact for all participants

    • Breaks projects into doable tasks and set timeframes and goals.

    • Creates and updates workflows

    • Prepares and provides documentation to internal teams and key stakeholders.

    • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the vice president, which may include planning and coordinating multiple presentations, disseminating information, coordinating the needs of the department.

    • Monitors project progress and addresses potential issues

    • Measures and reports on project progress

    Required Experience:

    • Bachelor's degree preferred, but high school diploma accepted with some college or equivalent experience.

    • Knowledge of spreadsheets and word processing documents, Microsoft applications.

    • A full understanding of office management systems and procedures

    • Outstanding planning and time management skills

    • Up-to-date with advancements in office gadgets and applications

    • Ability to multitask and prioritize daily workloads

    • High level verbal and written communications skills
