Job Description


The Office Manager is responsible for overall administrative support for the office and leadership for the sales support and front-desk employees.

Duties and Responsibilities:

  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
  • Train, coach, develop and mentor administrative team
  • Set strategy and delegate responsibilities amongst the administrative team
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Partner with human resources at corporate office to maintain office policies
  • Coordinate with IT department on all office equipment
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Provide support for all office staff which may include sending employee paperwork and client contracts
  • Provide support to Executive Management, including travel arrangements, scheduling, preparing reports, and letter composition
  • Serve as point person for maintenance, mailing, shipping, supplies, equipment, and bills
  • Provide support for payroll, travel and expense processing and benefits questions/training, along with approving as appropriate
  • Review contracts and ensure they are uploaded into company's CRM system
  • Responsible for weekly invoicing to clients, including monitoring aging reports and past due accounts
  • Back-up to support staff, including Receptionist

Technical Skills:

  • Proficiency in Microsoft Office Suite
  • Understanding of recruiting practices
  • Experience with CRM and HRIS strongly preferred

Education Requirements and Experience:

  • Associate degree required (Bachelor's degree preferred)
  • Successful track record of managing and developing an administrative team
  • Experience working in the Sales industry is preferred
  • Minimum of 5 years of administrate experience in professional business environment
  • Experience with scheduling, budgeting and payroll
