Job Description

Vaco is looking for a Project Coordinator for our client in Tampa.

An ideal candidate is someone who has IT project coordination experience and likes to tackle challenges, problem solve, be proactive, and follow through. Our Project Coordinator will work directly with our project and service teams and our clients as well as other system engineers to provide support on various service and project support and administrative tasks.

Primary Responsibilities:

  • Coordinate IT project moves, small migrations and rollouts
  • ISP orders- coordinate with vendors -communicate and follow-up status all details and order readiness
  • Schedule and manage project implementation by coordination internal resources and third-party vendors
  • Assist technical support team in answering and managing IT calls, creating and updating tickets and escalating.
  • Help manage general client communication and follow-up
  • Ensure full support to new clients & assist service transition with any missing documentation from projects
  • Coordinate service requests assigned (moves, adds and changes)
  • Must take ownership and act with a sense of urgency and commitment to resolve issues
  • Setup Projects in ConnectWise Manage Project Board
  • Create all necessary phases and tickets with all scope of work from approved proposals
  • Ensure all necessary attachments are saved and all notes from Sell are transferred/copied to manage project ticket
  • Create spreadsheet for product tracking. Track product / software order by working with procurement for status updates to Project Manager
  • Update/Track Product (serial numbers/license) - add to Configurations
  • Confirm-collect all details / scope of work for new projects and add to project details
  • Confirm-collect all contacts and confirm is on approved vendor lists for new onboarding clients
  • Setup - Update project task templates for phases and tickets (Onboarding/Offboarding)
  • Add contact information for all new onboarding users into ConnectWise Manage
  • Track all checklists for completion - alerts, maintenance and new user /term user forms
  • Work with Project Manager to ensure integrity and delivery of multiple projects with respect to time, budget, scope, change risk and resources
  • Maximize productivity by setting clear expectations and proactively communicating project status and issues and risk to the team
  • Respond to users and clients request in timely and accurate manner

GENERAL REQUIREMENTS

  • 2 years of experience as IT coordinator or similar role
  • Basic understanding of IT infrastructure (Servers, Cabling, Routers, Switches, Wireless)
  • Working knowledge and experience with ISP (internet service providers) and orders
  • Ability to explain IT concepts in simple terms
  • Excellent organizational and coordination abilities
  • Strong problem-solving skills
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking skills
  • Desire to learn and grow into next level - project manager
  • Flexibility to meet continuously changing priorities and challenges.
  • Ability to multi-task, meet deadlines, possess excellent communication and people skills.
  • Interest in studying and learning new things.
