Job Description

Vaco Indianapolis has partnered with a company located downtown Indianapolis to fill a contract to hire Administrative Assistant.

This role is Monday - Friday from 8am - 5pm.


The purpose of this job is to provide general administrative support, with an emphasis in document preparation. Most documents generated are delivered to clients, while others have internal use.


The essential duties and responsibilities include, but are not limited to, the items listed below. Other duties may be assigned as necessary.

Document Preparation

  • Daily: Document formatting, proofreading and editing of firm correspondence and client deliverables, including letters, reports, presentations, memos, charts, contracts, labels, envelopes, lists, forms and planning documents.
  • As Needed: Mail merges

Administrative Assistance

  • Daily/Weekly: Fulfill print and copy requests
  • Daily/Weekly: Complete scanning projects
  • Daily/Weekly: File documents, both paper and electronic
  • As Needed: Copy, fold and stuff mailers
  • As Needed: Provide administrative assistance to partners for special projects
  • As Needed: Schedule meetings

Other Support

  • Daily/Weekly/As Needed: Fulfill reception/hospitality duties as backup to the Receptionist
  • As Needed, as Assigned: Assist in other administrative areas
