Job Description

Responsible for the overall administration and organization of the office clerical and administrative support services for department in an accurate and timely manner

Essential Job Functions

  • Answers telephones, transferring calls, processing messages and aiding donors with various problems and inquiries. Performs essential job functions within an established office environment under normal lighting and climate control tolerances
  • Uses periods of high concentration to type and visually proofread reports, correspondence, lists, memos and other documents. Requires use of personal computer.
  • Copies, faxes, scans, and files a variety of documents. Involves working within an established office environment under normal lighting and climate controls.
  • Uses knowledge of administrative skills and organization to supervise support staff, including prioritizing and maintaining work flow.
  • Maintains office supplies and materials and orders supplies as necessary.
  • Maintains office equipment and calls to verbally request repairs; obtains proposals/bids for new office equipment. Works with Office (Management) team. Works closely with Information Systems setting up computer programs and aids in troubleshooting, keeping equipment working properly.
  • Performs other various job functions as assigned
  • Maintains knowledge of equipment usage: Microsoft products, computer, copier, fax machine. Ensures day to day functionality of office equipment
  • Performs job duties as assigned as part of the company's Business Continuity Management Program, including annual maintenance and testing of business continuity, disaster recovery and emergency response plans.

Job Requirements

  • Knowledge - Requires ability to understand general arithmetic; speak and write in a clear and understandable manner for internal/external relations; understand difficult verbal or written instructions; must demonstrate proficiency in Microsoft Office Products (Word and Excel); knowledge ordinarily acquired through attainment of High School diploma or GED plus 3 years office/administrative experience with office management experience. May require both written and oral fluency in English. Must possess a valid driver's license. (essential job functions - 1-6) Mental - Requires normal attention with periods of high concentration intermittently to type reports, supervise clerical workers and decide for special events approximately 55% of time.   • Physical - Requires walking/standing approximately 30%, sitting approximately 70%, and lifting up to 15 lbs. approximately 5% of time; involves repetitive stooping, forward bending and crouching approximately 5% of time, travel approximately 5% of time. (essential job functions 1-6)
  • Environmental - Requires capability of performing essential job functions in established office environment under normal lighting and climate control tolerances. (essential job functions - 1-6)
  • Manual Dexterity - Requires use of hands, arms, and feet for occasional lifting; use of hands and arms to operate telephone, typewriter, personal computer, fax machine, copy machine, other general office equipment and to record written information; requires capability of operating automobile (essential job functions - 1-6)
  • Audible/Visual - Requires ability to hear; requires ability to visually observe essential job functions for satisfactory job performance. (essential job functions - 1-6)
