Job Description

  • Commercial Real Estate experience required
  • Provide exceptional customer service to all tenants, by managing all tenant requests via email, phone and the online tenant work order system.
  • Responsible for all day to day operating activities of the property, inclusive of active vendor management.
  • Maintain strong vendor relations by monitoring the performance of all contractors to ensure adherence to work orders and contracted services
  • Screen phone calls and onsite visits from tenants, and providing any necessary support to the tenant on behalf of the Property Manager.
  • Support the Property Manager in supervisor of building staff and team members on a day to day basis.
  • Proactive collection of monthly tenant rental payments, and prompty notifying the Property Manager of any deliquences.
  • Process and/or review all Accounts Receivables and Accounts Payables, in a timely manner and submit to manager for review and approval.
  • Meeting all accounting deadlines as it relates to weekly processing of Accounts Recievables, Accounts Payables and monthly reoccurring reports.
  • Monitor and maintain Vendor and Tenant files.
  • Conduct monthly inspections of the property, such as janitorial, landscape and various maintenance and prepare a written report outlining inspection findings. Initiate corrective action as needed, with Property Manager approval
  • Administration of all service contracts and contract abstracts for the property, soliciting bids, evaluating proposals, and preparing Bid Comparison reports for Property Manager review and approval.
  • Prepare and/or review all lease abstracts as it pertains to the assigned property portfolio, and on a company level as support to due dillegance efforts.
  • Maintain Tenant and Vendor insurance reports on a monthly basis, and submit to Property Manager to ensure accuracy.
  • Assist Property Manager in preparing monthly cash requirement reports, accrual reports, stacking plans, variance reports, rental updates and executive summaries for the Property Manager's review.
  • Assist in planning tenant seminars, require fire drills, and appreciation events throughout the year for each property as needed.
  • Maintain all annual tracking spreadsheets: Tenant Emergency Contacts, Vendor Contracts, Contract Tracking, Property Snap Shot, Annual Business Plans, Tenant Options Spreadsheet, and any other implemented tracking tool required.
  • Assist Property Manager in any other administrative tasks as needed, such as Vendor and Tenant Letters.
