  • Administers leave of absences (LOA) in accordance with Family and Medical Leave Act (FMLA), similar state/local leave laws, disability policies/insurance, personal leave policies and military leave policies.
  • Serves as a subject matter expert for HR Business Partners. Addresses questions/concerns from employees, managers and HR Business Partners.
  • Manages the administration of LOAs from start to finish; works closely with the employees, insurers, third party administrators and HR Business Partners regarding the LOA procedural process.
    • Determine employee eligibility for LOA, including but not limited to FMLA or similar law and short term disability (STD).
    • Process leave requests/intake and independently approve/deny leave cases based on relevant medical information (or other information) and conduct recertification within required timeframes.
    • Develop and send applicable letters/forms to employees detailing the status of their leave application and leave implications (pay, benefits, return to work, etc.).
    • Review LOA forms and ensure all proper documentation needed has been collected.
    • Track physician certifications received; follow up on recertifications, delinquent certifications and incomplete certifications.
    • Responsible for tracking time off for all leaves and intermittent time off. Coordinates and track the concurrent use of paid time during FMLA or similar law, e.g. paid time off (PTO), STD.
    • Processes and tracks STD claims with the STD insurer.
    • Coordinates with payroll to ensure employee pay and time off is recorded accurately.
    • Works closely with HR and payroll on coordination of return to work status.
    • Monitors and tracks critical dates in the leave cycle and communicates with the employee and HR Business Partner as appropriate.
    • Maintains appropriate contact with employees on leave with regards to their benefits (e.g. medical, dental plans) coverage and tracks and coordinates employee's payments. Monitor delinquent payments, coordinate cancellation of benefits for non-payment (when applicable).
  • Manages relationships with STD/LTD insurers and third-party administrators to ensure claims adjudication oversight and to monitor employee leave status. Conducts ongoing claims status meetings with vendors and insurers.
  • Processes long term disability (LTD) insurance applications. Monitors LTD approvals/denials.
  • Collaborates with HR Business Partners, employee managers, insurers, third party administrators and outside counsel regarding LOA matters; to review claim/leave status and develop strategies for resolution.
  • Assists to identify transitional/light duty employment to match employee's physical limitations. Work with the insurer/TPA and HR Business Partner to implement the transitional duty plan for those employees who are returning to work with modified duty.
  • Maintains leave databases and creates leave reports.
  • Creates, documents and maintains operational processes and practices to ensure compliance and consistency in the execution and administration of leaves of absence.
