Job Description

The Billing Analyst must be detail-oriented, have strong research, problem-solving, and analytical skills and have the ability to communicate with all levels of staff, suppliers, and management. Must work well in a timeline-driven environment, with superior organizational, prioritization, multi-tasking, and time management skills, with an emphasis on accuracy and timeliness. This person will need to have a keen sense of financial management and quality assurance.

Essential Duties and Responsibilities:

  • Prepare invoices in ERP system and Excel

  • Submit invoices to customers through the Wide Area Work Flow (WAWF) and other customer invoicing systems.

  • Maintain contract invoicing electronic and hard copy records.

  • Collaborate with Financial Analysts and Accounting to ensure accuracy invoicing of labor hours and amounts.

  • Prepares and submits invoices to customers through the Wide Area Work Flow (WAWF) and other customer invoicing systems

  • Communicate with customers regarding contract invoicing matters.

  • Maintain client receivables > 60 days at the lowest possible level.

  • Review supplier subcontract invoices for accuracy and proper backup. Assign project numbers to subcontractor costs for input by Accounting. Assist in preparing subcontractor accruals at month-end.

  • Provide support and guidance to Project Managers and internal departments regarding contract compliance and project related financial matters.

  • Other ad-hoc assignments

  • Excellent spreadsheet and word processing computer skills and capable of working with an enterprise wide information system.

  • Ability to provide a high level of customer service to both internal and external customers.

  • Excellent communication and interpersonal skills; ability to effectively present information and respond to inquiries from customers, suppliers and internal departments

  • Ability to interpret contract financial information.

  • Possess analytical, research and problem-solving skills to develop innovative solutions to a variety of billing issues and problems.

  • Ability to calculate and apply figures such as percentages, multipliers and discounts; ability to apply algebraic concepts.

  • Ability to work independently and in a team environment.

Education/Experience:

Associate degree (A. A.) or equivalent from two-year college or technical school applicable to essential duties and responsibilities field plus two to three years of experience as a billing analyst or staff accountant. Equivalent professional experience of four or more years as a billing analyst or staff accountant may be considered in lieu of education.

The following experience is preferred:

  • Experience working in a U.S. government contracting environment. (Experience with WAWF. Knowledge of the Federal Acquisition Regulation and Government travel regulations).

  • Accounts Payable experience.
