Job Description

Vaco Indianapolis has partnered with a client located in Indianapolis to fill a long term contract Administrative Assistant position.

This contract can last up to a year or longer.


Position Purpose:

To provide administrative support to company.



Essential Functions:


  • Manages purchasing and upkeep of break room and office supplies. Determines needs based on inventory.
  • Schedules complex meetings across different time zones, utilizing audio and WebEx technologies.
  • Provides daily support with calendaring.
  • Arranges catered luncheons and provides beverages and snacks based on meeting needs.
  • Organizes and prioritizes large volumes of information and calls.
  • Receives and greet visitors, salesperson(s) to appropriate locations and parties or notifies personnel of visitor.
  • Collects, sorts, and distributes all incoming mail and prepares outgoing shipments.
