Job Description

POSITION OBJECTIVE: Responsible for drafting, administering and monitoring contracts and other agreements with contracted sub providers, maintaining detailed summaries of these contracts.


  • Draft procurements and contract related documents
  • Maintain the Contract File
  • Conduct onsite and remote programmatic and administrative monitoring for Child Welfare sub providers
  • Complete budget preparations and notify the Director of Contract Administration
  • Conduct review of contracts and coordinate legal review of contracts
  • Recommend program contract modifications or corrections to the Director of Contract Administration throughout the year; notify appropriate staff and funder of changes
  • Coordinate with Director of Contract Administration to ensure compliance on monthly, quarterly and annual contract requirements
  • Operate as the liaison between company and the Department of Children and Families and other subcontracted providers
  • Maintain a database/spreadsheet file of all contracts including: programs, lease, service, maintenance, property, etc.; identifying all properties (leased or owned) including any terms or special conditions involving property.
  • Make presentations to management and other staff on contract issues.
  • Notify appropriate staff of expiring contracts and distribute required documentation for renewal
  • Review contracts at least yearly to determine all contract clauses are current and valid
  • Advise management of modifications
  • Ensure all appropriate audit-related documentation is filed with local, state, and federal agencies
  • Ensure compliance with policies and procedures
  • Coordinate monthly, quarterly and annual contract reporting to agencies by obtaining all required program and finance related documentation. Ensure documentation is complete and prepare required reports in a timely manner
  • Participate in the Quality Improvement processes
  • Attend all required meetings
QUALIFICATIONS: REQUIRED: • Bachelor's Degree from an accredited college or university with major coursework in business, management, human services or a related field. (Equivalent experience may be accepted in lieu of a Bachelor's Degree) • Five (5) years of progressive experience working for a non-profit or government agency • Progressive experience in contract management, accounting, and/or program management • Proficiency with Microsoft Office desktop applications PREFERRED: • Six Sigma certification or equivalent • National or State Contract Management certification SKILLS: • Strong organizational skills • Good interpersonal skills • Detail oriented • Strong computer skills • Strong analytical skills • Ability to work independently and meet deadlines • Ability to work independently while being a team member • Ability to travel (occasional overnight)
