Job Description

Vaco is seeking Event Specialist and Coordinator candidates for a great client of ours in the Buckhead Atlanta area. The Event Specialist will join the firm's Human Resources department in the internal and external event-planning effort. This position collaborates and coordinates with the Event Planner to plan and execute first class events and activities for internal employees and external customers. The ideal candidate will bring a high degree of creativity and detail orientation to organizing various events in keeping with the company culture of "white glove" service.

Job Duties:

  • Assists the Event Planner with the planning, organization, and execution of company events and activities for internal employees. These include the annual holiday party, employee family festival, various department meetings, and trainings.
  • Assists the Event Planner with the planning, organization, and execution of external customer recognition events, including customer engagement activities, seminars, and incentive trips. Prepares nametags materials, gifts, registration lists, seating charts, etc.
  • Conducts research and locates other necessary resources based on event requirements.
  • Provides periodic progress reports to appropriate departmental contacts
  • With guidance from the Event Planner, negotiates vendor contracts, including venues, catering, décor, entertainment, and signage
  • Proposes new ideas and creative solutions to improve the quality of company events and the efficiency of the overall event planning and implementation process
  • Operates within proper budgetary guidelines and tracks finances accordingly
  • Designs and distributes promotional materials for events, as necessary
  • Attends events, as necessary, to facilitate their successful execution
  • Assists with event-related vendor coordination
  • Backs up travel function, to include facilitating employee travel requests and confirming booking information.

Qualifications:

  • College degree or relevant business experience
  • A minimum of 2 years event planning experience, including large-scale events
  • A high degree of creativity and the ability to "think outside the box" are critical attributes.
  • Self-motivated, resourceful, highly detail-oriented, and energetic
  • Excellent communication and interpersonal skills with the ability to communicate effectively across all levels of the organization and with external contacts and clients
  • Exceptional customer service orientation and superior work ethic are mandatory.
  • Excellent organizational skills with the ability to manage multiple simultaneous projects
  • Ability to anticipate needs, discern priorities, and meet deadlines with little supervision
  • Cvent experience is a plus.
  • Proficiency with Microsoft Office Products (Outlook, Excel, and Word)
  • Willingness to work occasional evenings and weekends for on-site and off-site events
