Job Description

Our client located in Moonachie, NJ is adding a new Office Manager to the team.

In this role the ideal candidate will be responsible for:

  • Provide focused administrative assistance to the President, EVP and CFO
  • Assemble and review documents to attorney's
  • Provide administrative assistance to SVP of Operations, Sales and Risk Managers
  • Provide focused administrative assistance to Salesmen
  • Prepare bid package for pricing (print out relevant bid docs) Type up proposals; revise proposals
  • Document Management (use of Scan Request Slip) Scanning of documents
  • Hyperlinking of documents to Sage/Timberline, Linx and Salesforce
  • Answer main phone line
  • Greet guests, mail and overnight couriers.
  • Manage postage machine and distribute mail and packages
  • Order supplies/coffee
  • Union Remittance Sheets (after process is streamlined)
  • Manage hoist repair call log;
  • Ordering of food/baskets/gifts, etc.
  • Branch Automation System (BAS) data entry

Requirements for the position include:

  • Strong administrative skills who is also persistent, and self motivated
  • Detail oriented and the ability to multitask
  • Good customer service attitude
  • Technological knowledge and experience, specifically a strong knowledge of Microsoft Excel and Word a MUST
  • Knowledge and experience in document management and syncing software a plus
  • Experience in construction industry a plus, but not required
