Key Job Responsibilities

  • Manage overall administrative support to the C-suite including but not limited to expense declarations, preparation of documents, PowerPoints, and project based work.
  • Responsible for the execution of tasks associated with supporting the office as needed.
  • Maintain and organize paper and electronic documents (e.g. training, organization charts, contact information) and filing systems as required.
  • Order department/group office supplies and process invoices, check requests, and purchase orders.
  • Coordinate office space and equipment needs for the office. (e.g. work space for visitors, meeting rooms computers/laptops).
  • Responsible for travel arrangements of Executives: flight reservations, hotel accommodations, transportation, etc.
  • Assists with the processing of PR's and PO's, helps to allocate costs appropriately.
  • Such other responsibilities and projects that may be assigned and ad hoc reporting.

Job Requirements

  • Bachelor's Degree
  • Minimum 5 years' administrative experience
  • Handle and prioritize concurrent assignments, and meet timelines
  • Interact with all levels within the organization
  • Knowledge/understanding to operate office equipment (e.g. fax, copier, scanner, etc.)
  • Excellent planning and organizational skills
  • Pro-activity, positive attitude, humility and forethought required
  • Proficiency in MS Office Suite (Word, Excel and PowerPoint)
  • Ability to maintain confidentiality - locate and gather highly confidential and sensitive information
  • Strong attention to detail and excellent communication skills
  • Independent and Collaborative Team Player
