Job Description

The Executive Assistant position will be supporting the Chief Financial Officer and Chief Executive Officer. This position will provide administrative and operations support with sensitivity to client confidentiality, as well as project management and communications support.

Job Responsibilities:

-Calendar Management, expense reporting, and daily schedule preparation briefings for executive leaders

-Occasional Travel arrangements

- Act as Liaison for Local event planning and coordination with vendors as well as communicating with external executive and internal executives, staff, clients, visitors.

-Database updating, analysis and reporting

-Attend meetings and take minutes

-Plan additional meetings with anticipation of attendee needs. Coordinate conferencing set up, including any audio and/or visual needs

-Draft and edit Memoranda, Letters, Proposals and other correspondence

-Make Decisions with thorough knowledge of company guidelines and procedures in mind

-Work independently when required managing projects and successfully achieve results by deadline set by self

-Conduct Research and compile reports and presentations for special projects

-Keep track of and monitor Real Estate licensee status for Brokers

-Complete training and testing as required to comply with local and national real estate laws

Required Skills and Experience:

-Minimum of 5 years' experience as an Executive Assistant supporting C-level Executives

-Bachelor's Degree preferred

Other Skills and Abilities:

-Experience with and managing numerous projects simultaneously, as well as anticipating potential issues

-Confidence with exposure to sensitive, critical and confidential issues

-Excellent Verbal and Communication Skills

-Heavy experience with Microsoft Office Suite, with an emphasis in Excel and Power Point

-Strong attention to detail and organization

-Planning and Coordination experience

-Reporting and Data analytics experience

-Confident and effective in presenting to Executives in a Boardroom

-Comfortable and Enthusiastic in a fast-paced, ever changing environment

-Demonstrated ability to work independently and as a team

-Ability to consistently maintain a professional, genuine and courteous demeanor, bearing in mind an inner sense of urgency when interacting with visitors, clients, executives and staff of all levels
