Job Description

Our Client located on the North West Side of Indianapolis is looking to add a front office coordinator to their team.

The Front Desk Assistant is responsible for exceptional customer service representing company through all communications and transactions. Provides general office support with a variety of clerical activities and related tasks.

Essential Duties & Responsibilities:

  • Welcomes guests and answers the phone
  • Receives, sorts and distributes incoming mail, processes outgoing mail and packages
  • Manages scheduling, preparation and clean-up of conference rooms, including meals/refreshments, makes daily coffee.
  • Responsible for inventory of office and breakroom supplies.
  • Maintains the breakroom including, re-stocking and general daily clean up and weekly refrigerator cleaning.
  • Maintains calendars, schedules/coordinates meetings and appointments.
  • Assists with coordination of office services and maintenance (copiers, cleaning, etc.)
  • Assists with internal and external customer and team events and activities as needed.
  • Provides administrative services for other employees as applicable and assigned
  • Required Knowledge & Skills
  • 1 or more years' experience in a business office administration position or combination of experience and education.
  • Demonstrated computer skills, experience with Microsoft Office
  • Ability to operate a multi-line telephone system
  • Energetic and positive with a professional presentation
  • Must work cooperatively with co-workers, clients, and member owners
  • Personal integrity and ability to maintain complete confidentiality with all company matters
  • Excellent communication skills both verbal and written including grammar and spelling proficiency
  • Great people skills with a strong focus on customer service
  • High attention to detail, organization and ability to prioritize tasks.
