Job Description

This position will manage the logistics of a capital campaign, currently in the quiet phase. Responsibilities include organizing meetings; taking notes and writing reports; tracking campaign activity and reporting; maintaining the campaign budget, ordering all campaign recognition, and organizing campaign events. Supports the campaign internal working committee and will acknowledgment all outright gifts to the campaign.


  • Works closely with the development staff to ensure needs are being met
  • Works closely with Integrated Marketing leads to provide Enterprise Project Management of divisional tactical plans
  • Provides administrative help scheduling meeting/taking meeting notes/etc.
  • Creates and communicate out regular Project Status Reports to task force and leadership to keep ongoing efforts and status of campaign top of mind
  • Support, organize and schedule campaign committee monthly meetings by preparing agendas, materials and scheduling meetings
  • Supports solicitation activities by staff and volunteer leadership by scheduling meetings, preparing talking points, assembling presentations, and full meeting prep
  • Writes and maintains all campaign correspondence including solicitation proposals and reports, meeting requests, and meeting follow up
  • Plans and executes campaign related events such as groundbreakings, signing ceremonies and grand openings
  • Oversees process for acknowledgement of all campaign gifts and pledges and the proper handling of pledge payment reminders and pledge agreements (in partnership with GP Financial Administration)
  • Responsible for entering and maintaining all relevant information in database system


  • Mid-level Microsoft Office and Google Drive experience (must be beyond entry level)
  • Excellent verbal and written skills
  • Data entry experience
  • Knowledge of basic office equipment and protocols
  • Basic knowledge of constituent relationship management databases
  • Knowledge - Requires a thorough knowledge of fund raising and public relations, very strong communication and interpersonal skills
  • Public speaking skills
  • Understand difficult verbal and written instructions
  • Understand data processing applications (Microsoft Word, Excel, Access)
  • Understand Web browsers and navigation (Microsoft Internet Explorer)
  • Knowledge ordinarily acquired through a bachelor's degree and 5 years or above of public relations, marketing, or non-profit management experience
  • Must possess a valid driver's license
