Job Description

Vaco is seeking a Human Resources Coordinating Assistant for a great tech company located in the downtown Atlanta area. This is a contract role (2-3 months) designed to support the HR Business Partner and human resources team. The company offers great culture and requires an ASAP start for this opportunity.

Payroll & Benefits Administration

  • Manage daily benefits enrollment and benefits administration
    • 401k Compliance
    • Long-term & Short-term Disability
    • Life Insurance
    • Support annual open enrollment process, annual benefits benchmarking and renewal strategy management
    • Employee Personnel File Maintenance and Compliance
    • Payroll Administration
      • Processing of bi-weekly payroll
      • Updates to Benefits Payroll Deductions based on benefits vesting schedule (Employee Anniversary Dates) and employee change requests
      • New Hire|Termination Paperwork and Communication
      • Manage the day-to-day ad hoc requests related to payroll and benefits
      • Prepare year-end 1099 paperwork
      • I-9 Verifications with E-Verify for all new hires within first 3 days
      • Maintenance|Audit of the I-9 binder
      • AutoTask Admin for On-boarding and Off-boarding responsibilities
      • Manage paid and unpaid time off (FMLA, parental leave, all-purpose leave (APL), disability, etc..)

On-boarding|Off-boarding Processes

  • Manage New Hire HR Folders: build personnel file and include background check (if requested), offer letter, payroll forms, etc.
  • Update new hire presentation and assemble new hire presentation binders, schedule photos
  • Support the 1099 onboarding process (contractor's agreement, Certificate of Insurance (COI), etc…)
  • Support DOL Unemployment Claims (Automated through Taleo Recruiting/On-boarding Module)
  • Manage and prepare final paperwork for off-boarding (validate final payroll, prepare final payment summary, prepare final check, DOL separation form)
  • Communicate terminations (voluntary and involuntary) to appropriate parties/departments
  • Communicate needed changes to the Org Charts, phone lists, birthdays, anniversaries based upon hires and termination
  • Managing building pass and parking pass documentation and assignment for new employees and ex-employees

HR General Support Items

  • Additional responsibilities and projects as requested: Assisting with projects that require organizing documents| Basic research when asked, etc…
