Job Description

Recruiting Coordinator Job Duties

Pre-Interview

  • Respond to email inquiries on how to apply, answer general inbox questions, route to appropriate recruiter if needed for assistance.
  • Respond to referral emails, route to appropriate recruiter.
  • Calls from HR line regarding recruiting would be routed to Coordinator for assistance.
  • Coordinate and schedule interviews onsite and with clients - send communications and book travel.
  • Send meeting request to internal participants and reserve meeting room.
  • Once travel arrangements are made, check for accuracy with name spelling, city locations, etc. Confirm receipt of all information by the candidate.
  • Send email confirmation to candidate with directions, interview time/date and paperwork to complete.
  • Make copies of application paperwork and put folders together with interview feedback sheets for participants.
  • Notify front desk that a visitor will be arriving for an interview.
  • Assist with job fairs as needed.

Offer Letter Paperwork

  • Process offer letter, route for approvals, follow up with candidate if assistance is needed or if there are questions.
  • Drug Screen Paperwork - Coordinate all drug screen testing, ensure results are received prior to start date.
  • Training Contract - Request the training contract from training to include with offer letter. Ensure the contract is returned, scan signed contract and save in file.

Final Steps After Hire

  • Monitor employment offer acceptance and completion of the background check form. Contact candidates if offer is not accepted in a timely manner or drug test has not been completed.
  • Keep candidate informed of completion of pre-employment screening to determine or confirm date of hire.
  • Finalize training/orientation dates.
  • Send out internal notification for all other internal departments that will have new hire interaction.
  • Process all travel expenses in Concur.
  • Log all referral candidates for referral bonus payment processing.

Job Requirements

* ATS (Applicant Tracking System) experience • Highly organized • Ability to work collaboratively with others / team oriented • Proficient in Microsoft Word, Excel, Outlook, and Teams • Strong attention to detail • Ability to communicate effectively • SAP recruiting and onboarding experience preferred
