Our Nashville based Shared Services Center is home to our Centres of Excellence for all Financial Cash transactions and processing (US Cash Managing, Accounting Operations and RMRA) to support our US front line labels and business units. It is a hub for internal control and risk management, and continuous improvement through technology, process and people. Reporting into the SSC CoE, our payroll function is moving to Nashville under the leadership of our Nashville based CFO, as part of the second phase expansion of the SSC CoE which also includes centralization of some global data operations. This role directly supports the Payroll team in Nashville with all their cloud technology support and enhancements and provides local backfill cover to process payroll during periods of team member absence.

How you'll spend your days…

This is an exciting opportunity to support the transition of US Payroll from HR to Finance, from its current New York location to the Nashville SSC CoE and from its existing, aging ADP Ev5 platform to Workday Payroll, as well as to be part of the long-term payroll and HRIS team once the transition is fully completed in Jan 2019. You will report to the HRIS Director (London based) with a dotted line to the Payroll Director (Nashville based) and hold responsibility for the support and maintenance of Workday Payroll, Absence and Time Tracking for the US, its related business processes, reporting and analytics. You will act in accordance with the HRIS established governance procedures, support model and roadmap and partner with other members of the Payroll team to deliver services to circa 1700 employees, both hourly and salaried across circa 15 US based pay groups.

During the transition period

  • Build knowledge of the existing payroll processing landscape, procedures and integration landscape based on the current state model, ADP Ev5 platform and its Workday integration, identifying process improvement opportunities
  • Leverage knowledge gained during knowledge transfer to identify new ways of working and technology enablement as part of the Workday Payroll deployment
  • Apply knowledge gained in KT to support transition period payroll processing through the Ev5 platform and all related procedures, including running integration files from Workday to ADP, reviewing output, troubleshooting errors, resolving issues and committing bi-weekly pay runs
  • Comply with internal and external business controls environment and agreed payroll and HRIS operating procedures
  • Work with the HR Partner - Reporting & Analytics, and the external implementation partner, to identify requirements, build, test and deploy Workday Payroll reporting and analytics for use in the steady state environment
  • Build knowledge of the Workday Payroll environment during its deployment, supporting testing activities, configuration decisions and shadow payroll processing reconciliations, leveraging opportunities to learn the technology, including existing Time Tracking landscape, and the WMG set up during the implementation process
  • Support Workday Payroll implementation project activities as required to ensure its successful go-live targeted for January 2019
  • Establishes SLAs and service review approach with Managed Service Partner and partners with the HRIS Director define the support model approach for Workday Payroll

Post transition - steady state responsibilities

  • Responsible for the support and maintenance of Workday Payroll, Absence and Time Tracking within the US, and the management of related business processes, reports and analytics
  • Act as a system administrator and primary technical point of contact for US Absence, Time Tracking and Payroll queries, cases and enhancements, operating in accordance with HRIS agreed operating procedures and remaining cognisant of the wider implication of changes and the global HRIS landscape
  • Works with key stakeholders to address questions, understand requirements, research and develop solutions and prioritise requests for system configuration and reporting needs as required to support Workday Payroll, Absence and Time Tracking in the US
  • Run reports per pay period to validate payroll and respond to ad hoc payroll and time tracking reporting requests as required
  • Provides holiday cover and supports busy periods within the payroll team to:
    • Deliver accurate and timely processing and reconciliation of payrolls
    • Balance payroll accounts by auditing information; identifying and resolving discrepancies; initiating journal entries.
    • Perform payroll cash reconciliation; ie per pay period (provide statistical summary recap to accounting)
    • Review and process payroll deductions, garnishments, levy, support orders
  • Operates in accordance with internal and external controls environment (eg SOX) to ensure full compliance; participates in annual internal and external audit activity
  • Manage and resolve issues related to Payroll production, including cases and enhancement requirements related to Workday Payroll, working with third party vendors and internal HRIS team to troubleshoot and deploy configuration changes
  • Own Workday integrations that relate to Payroll, Time Tracking and Absence, monitoring and troubleshooting these as required to ensure their smooth operation
  • Ensure time cards are completed and approved by managers in Workday
  • Build and run reports per pay period to validate payroll and respond to ad hoc payroll and time tracking reporting requests as required
  • Communicates with management the status of the payroll department and issues arising from time sheet problems and complaints related to payroll.
  • Identifies process improvement initiatives and defines standards for new processes and technology enablement options
  • Works with the Payroll Director and HRIS Director to implement on-going system enhancements according to organization goals, policies and procedures, and new laws and regulations
  • Support the Payroll Director and HRIS Director with other projects and tasks as required
  • Participate in new system implementations and or improvements related to payroll process and perform system testing.
  • Configure time off plans and its components. Define, differentiate, and configure time entry options.
  • Assist in the review, testing and implementation of Workday upgrades, fixes or enhancements and provide Workday Payroll, Time Tracking and Absence related end-user and stakeholder training as needed.

What we are looking for…

  • Minimum 1-year Workday experience working on an HRIS team or equivalent Workday consulting.
  • Strong technical resource with a working knowledge of Workday Payroll, Absence and Time Tracking business processes, security and configuration.
  • Skilled at building cross-functional and multi-level relationships
  • Requires strong analytical skills and the ability interpret business requirements to technical solutions and business process mapping. Exhibits creative problem-solving skills.
  • Ability to continually challenge and improve processes, educating end users and stakeholders on new ways of working and opportunities to leverage technology and automate processes
  • An astute, dedicated and experience HRIS professional with proven success in the payroll, absence and time tracking arena
  • Problem resolution and quality customer service
  • General experience of the principles and practices of generalist HR, compensation and benefits
  • Broad and local Subject Matter Expertise of US specific employee benefits and payroll tax across multiple States
  • A super organised individual with impeccable attention to detail and ability to maintain confidentiality
  • Proficiency in MS365 (including Word, Excel, Outlook, Powerpoint)
