Job Description

We are currently seeking a Lease Administrator on a temporary basis. Candidate will be responsible for supporting the management of all lease/tenant information.

Lease Abstracting, Auditing & Analysis:

  • Read and interpret Commercial Real Estate leases
  • Ensure all lease information relating to new leases, renewals, amendments and terminations are updated
  • Run standardized lease reports to review for accuracy and work with accounting staff to make corrections as needed
  • Prepare detailed lease analysis as requested by various Company stakeholders
  • Conduct routine audits to ensure consistent accuracy of information

Tenant Billings & Reconciliations:

  • Prepare timely and accurate monthly billings to tenants such as Utilities, Overtime HVAC, etc
  • Prepare CAM, Tax & Insurance Reconciliations (quarterly or annually) in conjunction with lease language
  • Correspond with internal team and tenants regarding billing/invoice inquiries; seek to quickly rectify outstanding items in order to support the collections process
  • Monitor Gross Sales Reporting and bill any overage rent timely
  • Manage credit adjustment process
  • Prepare mid-year analysis of monthly charges for CAM, Tax & Insurance in comparison to projected actuals for potential adjustment of charges.
  • Provide Additional Property Management Support:
  • Maintain electronic library of all lease contracts, amendments and correspondence in an organized file structure
  • Analyze Tenant Income during Annual Budgeting and Monthly Variance Processes
  • Review Monthly Tenant Reports such as Rent Rolls, Critical Dates, etc and confirm accuracy to Real Estate Managers and other stakeholders
  • Other Tenant Related functions as needed
  • Support to Asset Management & Capital Markets Teams
  • Regular Monitoring of Security Deposits & LOC's

QUALIFICATIONS AND REQUIREMENTS

  • 3-5 years of related experience in the Commercial Real Estate Industry
  • Bachelor's Degree Required
  • Strong Proficiency in all Microsoft Office Applications including Excel, Word and Outlook
  • Knowledge of MRI a plus
  • Possess a detailed understanding of key lease terms and concepts in order to work independently
  • Must be a proficient communicator and listener
  • Communication skills are critical - both oral and written
