Job Description

Responsible for assisting with various marketing initiatives. Supports the development and distribution of marketing and sales materials. Assists in the production of advertising, marketing brochures, press releases, sales kits or other promotional materials to support product launches. May write articles and design layouts. Tracking and publishing of quarterly milestones information. Work with team to publish documents and manage archives. Coordination of team projects as requested. Qualifications: The ideal candidate will have strong project management and administrative skills, high integrity, and a positive, can-do attitude. (Requires a 4-year degree and 1-3 years experience) Strong emphasis on written communication, will be proofreading, editing, and finalizing documents or marketing materials.

Maintains calendar of upcoming Marketing meetings and presentations; assists with PPT development/tailoring
Coordinates and distributes agendas for Marketing meetings; captures and distributes notes/actions for participants
Assists in calendar scheduling and preparing logistics, agendas, and materials for meetings/workshops for VP, Global Marketing
Provides travel re-arrangement and expense report support, as needed, for VP Global Marketing
Builds and maintains database of global, regional and country expense, vacation, HR, invoice, purchase order approval systems/apps links required to support global and regional marketing teams
Updates and maintains a library of role profiles and org charts for the global and regional marketing organization
Tracks training and travel expenses for global team members against budget allocations to ensure forecast accuracy and/or accurate application of expenses in various country finance systems (e.g. resolving cross-charge / account code mapping errors)
Develops process and coordinates onboarding activities for new hires in various countries and regions, including scheduling orientations, identifies local resources to support training on systems relevant to countries, setting up email, ordering laptops, etc.
Maintains email distribution lists for the Marketing community
Maintains knowledge management portals for marketing community, uploading presentations, videos and providing reminders of new materials available
Develops and maintains communication calendar for the team, sending reminders and supporting development and distribution of content
Assembles global marketing reports and consolidates/simplifies editorial calendars, research calendars, campaign calendars, etc. for easy use with stakeholders
North America Marketing Accountabilities
Organizes space, audio-visual, logistics/transportation, food/beverages for on-site meetings and workshops
Coordinates team outings and activities (e.g. team building, workshops, etc.)
Orders laptops, phones, office supplies for Marketing teams in the US
Provides support and coordination activities for select site tours including, but not limited to, management of scheduling database and preparation of customer experiences
