Job Description

Vaco Atlanta is seeking a MOHS/Prior Authorization & Surgery Scheduling Coordinator for a great client in the Buckhead Atlanta area. The Scheduling Coordinator is responsible for scheduling appointments, addressing phone notes and patient inquiries, and providing pre- and post-operative payment/health benefits coverage information to patients pertaining to the MOHS surgical procedures performed in the clinic.

This position will also focus on the coordination of the prior authorization process by receiving, answering, and/or resolving telephone inquiries and faxes from Patients and/or referring providers.

Responsibilities:

  • Greets patients, referring physicians and other visitors over the phone, via patient portal, and in the office with courtesy and professionalism
  • Ensures that patients to be scheduled for services are seen and/or contacted in a timely manner and clearly communicates any delays in their scheduling
  • Schedules patients for services to be rendered either in the clinic/office after their appointment/MOHS consultation, or over the phone after they have left
  • Understands when there is a need to escalate a Patient concern to the next level
  • Works to maintain an OSHA and HIPAA compliant environment
  • Maintains patient confidentiality
  • Assists patients in scheduling (as needed and instructed by the Physician/Provider), giving patient handouts and instruction, patient reminder calls; and making follow-up appointments as indicated by physician
  • Task management for timely patient call-backs with timely and accurate documentation in the NextGen EMR system
  • Serves as the primary person responsible to receive triage calls from office staff and surgical patients regarding "next step" surgery/procedures scheduling; under the supervision of the physician(s), assesses patient's need for advice or care and acts to meet that need
  • Schedules patient appointments following standard procedure and appointment templates.
  • Assists patients with EHR patient portal registration. Adheres to mandatory policies/procedures for QPP (Quality Payment Programs)
  • Continually learn and be able to explain new and existing MCO/Payer and prior authorization details to patients and staff. Must be willing to attend department, and cross-team development and training meetings
  • Perform all other job-related duties as assigned

Requirements:

  • High School diploma required; prefer college degree and/or experience in a large specialty clinic scheduling for multiple sites using a CCHIT EMR-PM System
  • Minimum or commensurate experience with insurance and/or billing
  • Prefer candidate with a minimum of six months to 5 years medical office and/or MOHS experience and has above average proficiency of electronic health record and scheduling skills, preferably NextGen or similar CCHIT EMR System
  • Served as a Scheduling or Team Coordinator, or worked as part of a surgery team with some experience with insurance verification and scheduling care services
  • Responsible for working with an electronic medical record system and having strong computer skills. Ability to schedule appointments in NextGen PM System
  • Be able to perform all aspects of patient scheduling process including; providing patient education, adhering to business office and billing requirements for accurate and time PATIENT PRIOR AUTHORIZATIONS for all payer types
