Job Description

Vaco is seeking administrative candidates for a great technology firm in the Buckhead area. This role is responsible for providing specialized operational and administrative support to relieve organizational pressure of complex tasks, advanced administrative duties and communications. The Office Manager will manage the day to day work activities and interactions of junior level interns, and will interact with customers, vendors, subcontractors, project and service managers, as well as senior management through voice and email communications. This is a temporary opportunity paying $19-$20/hour.

Job Duties:

Facilities Management

  • Serve as the primary onsite liaison with building and parking management
  • Manage office logistics, appearance, and space assignments
  • Ensure the security of people and property as needed
  • Provide on call back-up for local office emergencies

Office Management

  • Contribute to the development of an office culture that supports openness, friendliness, productivity, and internal and external client satisfaction
  • Order office supplies and employee swag
  • Manage vendor service contracts for office supplies, meals, etc.
  • Manage office appearance including conference rooms, kitchen, supply rooms, etc.
  • Ensure processes around client meetings, client greetings, and other components of in-office client service
  • Manage day to day work activities and interactions of junior level interns to carryout office management
  • Apply for Company Awards (Best & Brightest, Top Workplaces, etc.)
  • Undertake duties as Office Notary and officially Notary of iVision
  • Support Leadership Team on a limited and as needed basis

Financial Management

  • Identify ways to control costs and generate savings in purchases
  • Ensure that all shared expenses are allocated accurately
  • Liaise with corporate financial organization as required

Internal Company Event Planning

  • Catered In-Office Client Meetings
  • Monthly Solution Review Board Meetings (CTO's Meeting)
  • Quarterly Company Events
  • Annual Holiday Party
  • Annual Admin/Ops Offsite & Team Building (COO's Meeting)
  • Kick-Off

Requirements/Qualifications:

  • High school diploma required; associates or bachelor's degree preferred
  • Strong ability to multi-task
  • Exceptional communication skills
