Responsibilities:

Sales Support:

  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends
  • Weekly/monthly reporting of office financials; prepare reports by collecting and analyzing information
  • Monitor office budget, expenditures, sponsorships, memberships, credit card statement reconciliation, negotiate and contract with various vendors, and manage accounts payable

Operations and Facilities Management:

  • Manage, direct and coordinate all facets of the daily operations of the office including serving as primary office point person for vendors, service providers, leasing office, candidates and clients and shared services
  • Applicant tracking and back office system power user
  • Managing reception staff, keeping front and back office presentable and organized
  • Events - coordination and planning/attending

Human Resources:

  • Administer a wide range of Human Resource responsibilities in coordination with Shared Services, act as liaison, provide support to internal and external employees in the handling of human resource related activities
  • Internal new hire onboarding - schedule first week trainings, oversee orientation; collection of documents and salary information for set up and forwarding to Shared Services
  • Prepare weekly, monthly and quarterly employee performance reports for quarterly and annual reviews and to analyze office production performance
  • Organize employee recognition programs including monthly birthday/anniversary, events, incentive program, team building and annual holiday parties
