Job Description

ESSENTIAL JOB FUNCTIONS:

  • Act as gatekeeper, answering phones and email and proving high level of service to clients
  • Mange the administrative support team which includes training, coaching, and performance reviews
  • Delegate administrate tasks and projects amongst the administrative team
  • Perform advanced computer skills to provide complex presentations, spreadsheets and graphs.
  • Act as Office Manager for the team with tasks such as ordering office supplies, sorting mail, running various reports and special projects as needed for Executives in the office
  • Respond to and route inquiries to appropriate personnel as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the company executive.
  • Coordinate, assist in planning, prepare agenda and monitor meetings; maintain and update Outlook Calendar.
  • Assist in preparation of Travel & Expense reimbursement reports for staff
  • Handle highly confidential, sensitive and/or critical information, files, records and reports.
  • Implement Corporate Travel Program and act as the point person for all travel requests. Coordinate and arrange for travel via corporate travel vendor.
  • Make travel and social arrangements for the executive team.
  • Organize Executive office and update files.

JOB SPECIFICATIONS:

  • Bachelor's Degree preferred or combination of experience and training.
  • 5+ years of job experience supporting a CEO or other C-level Executives
  • 3+years of experience managing a team
  • Intermediate knowledge of Microsoft Outlook, Word, Excel, Access, PowerPoint, and Internet Applications.
  • Must have a high attention to detail
  • Ability to work well under pressure and time frames: and with many different personality types.
  • Must be able to multi-task, be a self-starter and dynamic team player who possesses a strong attention to detail and excellent verbal and written skills.
