Job Description

Vaco is currently searching for a Payroll Administrator for our corporate client located in Memphis!

This position will pay $21.63-$24.04 per hour while under contract and will pay $55k per year once permanent. This is an open-ended contract with the possibililty to go permanent.

The Payroll Administrator plans, coordinates and manages payroll functions and processes for multiple companies in the US. Under general direction of the Controller, the Payroll Administrator processes payroll and commissions for employees and independent contractor representatives. The Payroll Administrator is responsible for facilitating all tasks necessary to accomplish WSI payroll processing objectives, including relationships with State and Federal agencies, as well as external auditors. This position is responsible for coordinating with the Accounting Department to ensure payroll is funded and accurately deposited in a timely manner.

Essential Functions:
  • Process timely and accurate semi-monthly and monthly payrolls using a payroll data system; Track and verify a variety of payroll related information (e.g. time and attendance data, leave time, direct deposits, benefits, wage attachments, loan balances, draws, etc.) to ensure accurate disbursement of funds and payroll.
  • Coordinate efforts between Payroll and Human Resources to validate new hire set-ups, benefit enrollment changes, terminations, payroll adjustments, and other related activities which impact payroll processing; organize and maintain all necessary payroll related documentation.
  • Provide outstanding customer service by responding to payroll inquiries from employees and outside agencies, providing information or direction as needed, and researching and resolving discrepancies payroll information and documentation.
  • Liaise with payroll providers on all payroll matters and act as intermediary for HR and accounting.
  • Work with payroll and tax filing service providers to maintain all payroll records, reports, and tax filings, and manage jurisdictional registrations. Manage relationships and documentation for all required jurisdictions, including registrations and closing accounts. Maintain the validity and accuracy of the payroll system data and ensure all payroll transactions are compliant with Federal, State, and local laws.
  • Participate in developing department goals, objectives, and systems. Identify opportunities to increase operational efficiency and implement alternative methods. Document processes and procedures for functional backup and auditing purposes. Interface regularly with HRIS Analyst to recommend and participate in implementation of system changes.
  • Coordinate with the Accounts Payable to ensure timely and accurate payment and coding of benefit carrier invoices, and travel and expenses using Concur.
  • Support the year-end reconciliation of retirement plans and year-end tax filing for Company by working with internal and external parties.
  • Perform other related duties as required and assigned.
