Job Description

Our client is looking for a Liaison - Print Production in Memphis, TN. This position provides support to account services and creative and trafficking teams by assigning, scheduling and coordinating the production of all printed materials produced by Communications in support of fundraising initiatives. Includes prepress and printing supervision, preparing estimates, tracking cost and ensuring that jobs meet client deadlines.

Essential Job Functions:

  • Manages the relationships between Communications and internal and external print vendors to ensure accuracy, quality and timeliness. Develops metrics for ongoing vendor analysis. Implements short and long term purchasing strategies supported by analysis. Develops and maintains a national supplier base. Identifies and selects state-of-the-art vendors and fulfillment resources including digital, offset and specialty printers. Creates and maintains contractual agreements with print suppliers. Manages relationship with the United States Post Office to ensure all fundraising materials produced by Communications are in accordance with USPS guidelines. Evaluates vendor capabilities, manages print schedules and oversees all four-color press work, markups, digital production and printers' proofs. Attends press checks as necessary. Involves working within an established office environment under normal lighting and climate control tolerances.

  • Develops and communicates specifications and expectations for print projects. Works collaboratively with Account Services, Creative and Traffic Teams to create print production timetables in coordination with outside vendors handling printing and fulfillment for assigned print projects. Works directly with Creative Teams during the design phase to provide recommendations and specifications for creative and makes recommendations on cost-saving tips, such as adjustments to collateral specifications to reduce printing cost. Develops and maintains print Request For Quotes (RFQ) and identifies when changes to a project may affect timelines or cost. Notifies Account Services of any pre-press estimate overages at the point in the work they occur. Educates internal staff on new technology and developments.

  • Ensures that projects deliver on time, within quality tolerances and within specified budget. Constructs and maintains time and action calendars and monitors print production schedules to ensure materials are delivered on time. Places purchase orders and coordinates schedule and delivery of printed materials. Responsible for all aspects of quality control on assigned print projects. Works with creative and account teams to review/approve printer's proofs, which involves comparisons with final proof. Develops and ensures that an audit program and quality control procedures are intact with suppliers for all print jobs.

  • Ensures jobs meet quality standards and client-specified requirements. Anticipates potential problems or delays and resolves them quickly to avoid scheduling and/or financial repercussions. Obtains competitive bids with a minimum of three vendors per component, per project. Makes recommendations as to which vendor should be awarded the bids with an attached analysis as to why they were selected. Responsible for the inventory counts of all core informational materials. Guarantees that pre-set reorder levels are adhered to, ensuring adequate inventory at all times.

  • Negotiates with vendors and internal staff. Acts as a consultant on challenging print projects. Proactively resolves all problems with print vendors, including quality issues and incorrect invoicing. Uses oral and written communication skills to negotiate with vendors on bids and printing procedures. Ensures the company will receive the best price possible for each project. Requires use of personal computer.

  • Provides financial accounting of expenditures and cost-containment programs. Visually reviews and researches all print production invoices prior to submission to Accounting for processing. Works with accounts payable to ensure invoices are not duplicated.


  • Bachelor's degree and 3-5 years in a related field such as in an agency or marketing environment
  • Must possess a valid driver's license.
  • Requires a relatively high degree of concentration and attention intermittently to manage all print production, requiring high energy, assertiveness, creative problem solving, good judgment and initiative approximately 75% of time.
  • Requires walking/standing approximately 25%, sitting approximately 75% and lifting up to 10 lbs. approximately 1% of time; involves repetitive stooping, forward bending and crouching approximately 1% of time; involves travel approximately 10% of time.
