Job Description

Vaco Indianapolis has partnered with a company located Northeast Indianapolis to fill a Project Assistant.

Responsibilities include but not limited to:

  • Main Contact for Subcontractors
  • Request bids
  • Change orders
  • Generate/track PO's (if required)
  • Certificate of Insurance/W-9 - request/upkeep - paper/digital copies
  • Assist Project Manager's
  • Daily Reports
  • Job Site Photos
  • Scheduling subcontractors
  • Site Set-up - General Conditions:
  • Job Site Trailer
  • Trash (set-up & weekly/daily removal)
  • Utilities - Water, Electric, Gas
  • Change Order Requests
  • Submittals
  • Project ASI's, RFI's - Bidding & Current Projects
  • Set up & Maintain Project Contact List
  • Qualify Bidders
  • Bid Requests
  • Purchase Orders
  • Generate and Reconcile (track) with Invoicing
  • Warranties
  • Reception area - answer phones, monitor door
  • USPS - process incoming/outgoing
  • Copier(s) & KIP - Monitor/Maintain (keep stocked with paper, toner, etc.)
  • Office upkeep - trash, sweeping - as needed

Previous experience in a construction office is required.

Must be proficient with Word, Outlook, Excel (spreadsheets)
