As an Administrative Assistant you will be responsible for fulfilling and tracking all Products, Sales and Marketing requests for samples, mock-ups and product renderings for the Sales and Marketing team and broker network. You will manage and distribute marketing administrative materials such as specification and pricing forms, Sales & Operation notes, product fact sheets, sell sheets and brand presentations. You will be responsible for responding to daily customer inquiries using database, email, telephone and/or written correspondence in a timely, accurately and efficient manner.

Other responsibilities of the Administrative Assistant role include:

  • Responsible for entering and reviewing incoming orders on internal software in order to verify accuracy of the order, such as product numbers, customization, prices and inventory availability
  • Communicates with the Sales Manager and customers to resolve order discrepancies or secure additional needed information to facilitate shipping of orders.
  • Other duties include price quotations, updating customer records and communicating details of orders, inquiries and deliveries to customers or the Sales Manager.
  • Communicates with Sales Manager and external customers via phone or well composed e-mail
  • Research a variety of issues either addressed by the customer, Sales Manager or the Accounting Department
  • Ability to analyze reports and provide details and/or submit the necessary changes
  • Acts as a liaison between Sales Manager and other internal business units
