Job Description

Vaco Los Angeles is seeking an experienced administrative professional to support our Managing Partner and office support staff. This position is responsible for providing high-level administrative support, reporting to the Operations Manager.

Independent judgment is required to plan, prioritize and organize a diversified workload that includes competing priorities. Success in this position will require the candidate to be a self-starter with extreme detail-orientation.

Sample Duties:

  • Manage a very active calendar for the Managing Partner; providing meeting confirmations and reminders.
  • Provide "on-call" support to the Managing Partner after hours for high priority requests/
  • Schedule and organize activities such as on and off-site meetings, travel, conferences and other activities.
  • Independently coordinate and manage workload while remaining cognizant of changing priorities and competing deadlines.
  • Communicate critical priorities, urgent matters and upcoming commitments and responsibilities to Managing Partner and Operations Manager.
  • Prepare correspondence, ad hoc reports, and expense reimbursements.
  • Support accounts receivable and collections functions for client invoices in a professional and tactful manner.
  • Assist the Office Administrator in the smooth operation of the central office; including onboarding new employees or consultants, filling in for phone reception when needed, and other tasks.
  • Interface with maintenance, technology, and other office vendors to ensure smooth operation and efficiency.
  • Responsible for assisting in recruiting coordination of candidate interviews.
  • Perform a variety of complex and routine administrative duties


  • Minimum of 3 to 5 years' in administrative support or related role.
  • Advanced expertise in Microsoft Office suite and database knowledge is required.
  • Experience within staffing, consulting, or HR highly desired.
  • Strong work ethic and availability after hours as needed.
