Vaco is currently working with a medical device company in Aliso Viejo, CA on a new Senior Payroll Administor opening. In this position, you will be responsible for a multi-state weekly and bi-weekly/weekly payroll for over 150 employees. ADP Workforce Now will be required for this position This position reports to the Accounting Manager.

Your daily duties and responsibilities in this role will generally include:

  • Process accurate and timely weekly and bi-weekly payroll using ADP Workforce Now payroll system
  • Review timesheets for accuracy or missing information, and process all payroll adjustments
  • Entering and/or updating payroll records including benefits deductions, wage garnishments, compensation, department transfer, direct deposit, etc…
  • Assure that all employees contributions are timely entered in the retirement plan as well as health savings account
  • Provide all necessary payroll support by answering employee questions, troubleshooting issues, initiating service tickets through ADP Comprehensive Services and resolve any payroll related inaccuracy
  • Maintain integrity of data for payroll in ADP system to ensure accuracy and timely editing of employee records including adding new hires, processing authorized changes and terminating employees
  • Assure compliance with federal and state reporting requirements (monthly, quarterly and year-end reports, including W-2's and 1095-C. Coordinate annual 5500 filing
  • Knowledgeable in setting up out of California states in ADP and with the local employment agencies
  • Upload 401k and HSA contribution in respective portals
  • Enter/maintain employee data in various portals related to training, payroll, benefits and retirement plan
  • Maintain employees' personal files and payroll reports.
