The Accounts Payable Specialist will manage the end-to-end invoice and payment process, ensuring vendors are paid accurately and on time. This role requires someone who is detail-oriented, organized, and capable of handling multiple systems and priorities with maturity and professionalism. Communication and reliability are key — you’ll be trusted to provide accurate information and updates to leadership and collaborate across departments to keep processes running smoothly.



Key Responsibilities

Review, code, and process 25–50 invoices per day across multiple systems, including Craftable, Intelligent Imaging, and occasionally M3.

Pull invoices from shared email inboxes and ensure timely and accurate data entry.

Prepare, review, and process payments, including approving and paying wires.

Manage vendor relationships — provide updates, respond to inquiries, and professionally handle delays or discrepancies.

Ensure invoices are properly approved and aligned with internal policies before payment.

Maintain accurate vendor records and support any updates or compliance documentation.

Communicate effectively with finance leadership (including Lucrezia and other key team members) to provide the information needed for decision-making.

Assist with AP reconciliations and support monthly closing processes as needed.

Qualifications

3 years of Accounts Payable experience with moderate to high invoice volume.

Experience working across multiple accounting or procurement systems; comfort with systems integration and process flow.

Strong attention to detail, organization, and follow-through.

Proven ability to manage deadlines and handle competing priorities.

Excellent communication skills and emotional intelligence — able to interact effectively with vendors, internal partners, and management.

Ability to maintain confidentiality and operate with integrity and accountability.

Exposure to general ledger processes or understanding of how AP impacts the GL is a plus, but not required.
