Position Summary
The Director of Maintenance / Office Manager oversees the daily operations of facility maintenance while also managing administrative and office functions. This role ensures that buildings, equipment, and grounds are properly maintained while maintaining efficient office operations, supporting staff, and coordinating vendors and resources. The ideal candidate is highly organized, proactive, and able to manage both operational and administrative responsibilities.


Key Responsibilities

Maintenance & Facilities Management

  • Oversee all building maintenance, repairs, and preventative maintenance programs.

  • Manage maintenance staff and coordinate daily work schedules and priorities.

  • Ensure facilities, equipment, and systems are operating safely and efficiently.

  • Coordinate with outside contractors and vendors for specialized repairs or services.

  • Maintain records of maintenance activities, inspections, and compliance requirements.

  • Monitor maintenance budgets and approve purchases for supplies and equipment.

  • Ensure compliance with safety regulations and facility standards.

Office & Administrative Management

  • Oversee day-to-day office operations and administrative procedures.

  • Manage office supplies, equipment, and vendor relationships.

  • Support leadership with scheduling, reporting, and operational coordination.

  • Maintain company records, documentation, and filing systems.

  • Assist with budgeting, invoicing, and expense tracking.

  • Coordinate office policies and procedures to improve efficiency.

  • Serve as a liaison between departments to support communication and workflow.

Team Leadership

  • Supervise maintenance and administrative staff.

  • Train, mentor, and evaluate employees.

  • Develop procedures to improve operational efficiency and productivity.


Qualifications

  • Bachelor’s degree in Business Administration, Facilities Management, or a related field preferred.

  • 5 years of experience in facilities maintenance, office management, or operations.

  • Strong knowledge of building systems, maintenance procedures, and safety practices.

  • Excellent organizational, leadership, and problem-solving skills.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Proficiency in Microsoft Office and general office systems.
