Accounts Payable Specialist - Portugal Based POST NUMBER: 484854
Role Summary
The Accounts Payable Specialist is responsible for the timely and accurate recording and payment of supplier invoices, processing of company credit cards, and reconciliation of supplier and bank accounts.
Reporting to the Finance Manager and working within an established Corporate Finance team, this role plays a key part in maintaining the integrity of the accounts payable function and ensuring financial processes operate efficiently and accurately.
Key Responsibilities
Accounts Payable Processing

Process supplier invoices, credit notes, and refunds accurately and in a timely manner in multiple EU entities and in several currencies (GBP, EUR and others) in multiple EU languages

Analyse purchases and correctly code invoices by expense type and cost centre.

Ensure invoices are timely and appropriately authorised in accordance with company approval processes.

Enter invoices into the finance system (Microsoft Dynamics) ensuring accuracy and completeness

Maintain accurate records of all supplier transactions, including payment run preparation
Supplier Account Management

Set up and maintain supplier accounts within the finance system.

Reconcile supplier statements and investigate and resolve discrepancies.

Respond to supplier queries and maintain strong supplier and internal stakeholder relationships.

Resolve significant issues promptly, including escalations such as final demand letters.
Reconciliation

Perform regular reconciliation of supplier accounts and relevant bank accounts.

Support month-end and year-end close processes relating to accounts payable.

Ensure financial controls and internal procedures are adhered to at all times.
Systems & Process Improvement

Maintain accurate data within the finance system BC
-
Identify inefficiencies or process gaps within the accounts payable function and recommend improvements.

Support the wider finance team with ad-hoc finance tasks and reporting requirements.
Experience & Skills Required
Work Experience & Qualifications
-
Degree educated in Finance, Accounting, Business, or a related discipline.
-
Additional accounting or finance qualifications such as AAT, ACCA (part-qualified), or equivalent preferred.

Strong experience working within an Accounts Payable function, ideally within a fast-paced environment.

Experience supporting month-end and year-end closing activities.

Experience working within multi-entity or EMEA organisations is advantageous.
Technical Skills
-
Experience using accounting systems and finance software; Microsoft Dynamics NAV BC (or similar ERP) desirable.

Proficient in Microsoft Office applications.

Intermediate to advanced Excel skills, including the ability to use formulas and analyse data.

Strong understanding of VAT treatment of various EU countries on invoices and expense claims.
