Position Overview: The Accounts Receivable Specialist is responsible for managing and overseeing the company's accounts receivable functions. This role involves ensuring timely and accurate processing of invoices, managing collections, and maintaining accurate financial records. The ideal candidate will have strong analytical skills, a solid understanding of accounting principles, and excellent communication abilities.

Key Responsibilities:

  • Invoice Processing: Prepare, review, and process customer invoices in a timely and accurate manner. Ensure that all invoices are properly coded and aligned with contract terms.
  • Collections: Monitor and follow up on overdue accounts, working closely with customers to resolve payment issues and ensure timely collections.
  • Account Reconciliation: Reconcile accounts receivable ledgers and resolve discrepancies or issues related to payments, credits, and debits.
  • Customer Communication: Communicate with customers regarding outstanding invoices, payment terms, and account status. Address and resolve any billing inquiries or disputes.
  • Reporting: Generate and review accounts receivable reports, including aging reports, cash receipts, and collections metrics. Provide insights and recommendations for improving collection processes.
  • Record Keeping: Maintain accurate and up-to-date records of all accounts receivable transactions, including invoices, payments, and correspondence.
  • Data Entry: Accurately input and update customer information and payment data into accounting software and databases.
  • Compliance: Ensure compliance with company policies, accounting standards, and regulatory requirements related to accounts receivable and financial reporting.
  • Collaboration: Work closely with other departments, such as sales and customer service, to address billing issues, process adjustments, and support overall customer satisfaction.

Qualifications:

  • Education: High school diploma or equivalent; associate’s degree or bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Experience: Minimum of [X] years of experience in accounts receivable or a related accounting role.
  • Skills: Strong understanding of accounts receivable processes and accounting principles. Proficiency in accounting software (e.g., QuickBooks, SAP, Microsoft Dynamics) and Microsoft Office Suite (Excel, Word).
  • Communication: Excellent verbal and written communication skills, with the ability to effectively interact with customers, team members, and management.
  • Attention to Detail: High level of accuracy and attention to detail in processing invoices, payments, and financial data.
  • Organizational Skills: Strong organizational and time management skills, with the ability to handle multiple tasks and meet deadlines.
  • Problem-Solving: Ability to identify and resolve issues related to accounts receivable and customer payments.
