Vaco is hiring a Sales Assistant for a large, family-owned distribution company in Jacksonville, FL.
This is a full-time, onsite opportunity with a quick interview process and an immediate start available for qualified candidates.
This position is ideal for a highly organized professional who enjoys working with data, supporting sales teams, and ensuring accuracy in a fast-paced business environment. The Sales Assistant will provide administrative and analytical support to the Sales Team while managing multiple priorities and maintaining exceptional attention to detail.
What You'll Do
Sales Administration & Project Support
- Prepare professional sales presentations, formatted customer quotes, and business review documents.
- Maintain, analyze, and manipulate seasonal and year-over-year sales data.
- Track and coordinate product sample requests from start to finish.
- Perform high-volume administrative tasks with a strong focus on accuracy and quality control.
- Support Territory Managers and cross-functional teams with ongoing projects, deadlines, and reporting needs.
Customer & Broker Support
- Communicate with customers, brokers, and internal teams primarily through email correspondence.
- Upload, download, and verify information through customer portals.
- Participate in occasional phone and video meetings with business partners and customers.
- Assist with ensuring customer information and sales data are accurate and up to date.
Qualifications
Required Experience
- Minimum of 2 years of administrative support experience in a professional office environment.
- High School Diploma or equivalent.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent attention to detail and commitment to accuracy.
- Strong written communication and interpersonal skills.
- Ability to learn new systems, processes, and tools quickly.
Excel Skills Required
Candidates should have intermediate Excel experience, including:
- Formulas beyond basic SUM functions
- Pivot Tables
- Data filtering and sorting
- Data cleanup and validation
- Conditional Formatting
- Working with large datasets
