Job Summary:

We are seeking a detail-oriented and experienced Staff Accountant / Payroll Administrator to join our accounting team. This multi-functional role is responsible for supporting general accounting tasks, processing union and non-union payroll, managing union reporting, and supporting customer billing functions. The ideal candidate will bring strong analytical skills, a high degree of accuracy, and a solid understanding of payroll, billing, and accounting best practices.
Key Responsibilities:
Accounting Duties:

  • Prepare and post journal entries; maintain and reconcile general ledger accounts.
  • Review month-end expenses for accuracy.
  • Assist with month-end and year-end close procedures.
  • Help with financial reports and assist with budgeting and forecasting.
  • Assist with accounts payable and accounts receivable functions as needed.

Payroll Administration Duties:
  • Process weekly union and non-union payroll accurately and timely.
  • Maintain up-to-date employee records including new hires, terminations, pay changes, and deductions.
  • Work with Paychex to ensure full compliance with federal, state, and local payroll laws and wage/hour regulations.
  • Prepare and submit detailed union reports and online payments (e.g., health, pension, dues).
  • Ensure compliance with collective bargaining agreements (CBAs).
  • Reconcile payroll accounts and prepare payroll-related journal entries and accruals.
  • Respond to payroll and union benefit-related inquiries from employees and union reps.


Billing Duties:
  • Prepare and issue customer invoices.
  • Collaborate with project managers and operations to ensure accurate billing and timely submission of invoices.
  • Track and resolve billing discrepancies, credits, or adjustments.
  • Monitor accounts receivable aging and assist with collections.
  • Maintain accurate billing records and support month-end revenue recognition.
  • Ensure compliance with client contract terms and billing requirements.
Qualifications:
  • Bachelor’s degree in Accounting, Finance, or a related field preferred.
  • 2–4 years of accounting, payroll, and billing experience.
  • Experience with union payroll processing and union benefit reporting is preferred.
  • Proficiency in accounting and payroll software (SAGE 100 and Paychex preferred).
  • Strong understanding of GAAP and payroll.
  • Ability to interpret and apply collective bargaining agreements.
  • High proficiency in Microsoft Excel and other Microsoft Office tools.
  • Excellent attention to detail, organization, and time management.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
