Vaco is looking for an expense admin for a large corporate office on the Southside of Jacksonville.

Job Description

Process transferee related expense reimbursements and third party supplier invoice payments in compliance with client's established relocation policies. Expense Analyst must have a detailed understanding of relocation-related expenses to determine taxable vs. non taxable treatment as stated within IRS guidelines.

Essential Functions/Major Responsibilities

  • Audit transferee expense reports and supplier invoices to ensure compliance with client's relocation policies and IRS requirements. Review expense reports and invoices for mathematical accuracy and to ensure completeness of supporting documentation to substantiate underlying transactions.
  • Prepare requests for disbursement of funds to transferees and/or third party suppliers based on supporting documentation previously audited.
  • Routinely interact/coordinate with counselors to resolve discrepancies, to review issues related to exceptions to the client's policy and to determine/evaluate the nature of the transactions to ensure accurate coding for taxability purposes.
  • Research and respond to vendor inquiries regarding payment status, adjustment to invoices and other vendor-related issues.
  • Enter data into expense tracking system. Determine appropriate codes to be used for taxability purposes. Review data to verify dollar amounts, payee selections, reporting criteria, and accurate spelling.
  • Assist team on as needed basis.
  • Assist Expense Admin Supervisor with special projects as deemed necessary.

Education and/or Experience

  • Associates Degree in Accounting or commensurate experience
  • Two to three years related experience
  • Experience using Microsoft Access preferred, but not required
