Assistant Practice Manager – Medical Spa

Location: Nashville, TN (split between Belle Meade & East Nashville locations)
Schedule: 32–38 hours per week | 4–5 days per week
Pay: Based on experience (hourly)
Employment Type: Full-time, Permanent


About the Opportunity

A well-established medical spa with over 20 years in business is seeking an Assistant Practice Manager to support daily operations and provide leadership to a talented front desk and patient care team. This role offers an excellent opportunity for an experienced manager with a background in medical spa, dermatology, or aesthetic practices who values teamwork, professionalism, and patient-centered service.

You’ll work closely with the Practice Manager to ensure smooth operations, support staff performance, and help maintain the exceptional patient experience the practice is known for.


Key Responsibilities

  • Supervise and coach front desk staff to deliver excellent patient service

  • Assist with scheduling, patient flow, and daily operations

  • Handle patient concerns with professionalism and discretion

  • Participate in recruiting, interviewing, and onboarding new team members

  • Support retention programs and staff recognition efforts

  • Maintain office procedures, policies, and documentation

  • Assist with inventory management, purchasing, and vendor coordination

  • Ensure compliance with operational and financial procedures


Qualifications

  • 2–3 years of management experience in a medical spa, dermatology, plastic surgery, or dental setting required

  • Recruiting and interviewing experience required

  • Strong communication, coaching, and leadership skills

  • Knowledge of patient scheduling and front office operations

  • Proficient in Microsoft Office Suite

  • Experience with Zenoti or similar EMR/med spa software preferred

  • High school diploma or equivalent required; bachelor’s degree preferred
