Practice Manager - Luxury Medical Spa

About the Role
We are seeking a dynamic and results-driven Practice Manager to lead the daily operations of a premier medical aesthetics and wellness practice. This individual will serve as the key liaison between clinical providers, staff, and clients-ensuring an exceptional guest experience while driving operational and financial success.
The ideal candidate is a confident leader with a strong business acumen, a passion for luxury aesthetics, and a proven ability to inspire high-performing teams in a fast-paced, client-centered environment.
Key Responsibilities
Financial & Business Operations

  • Interpret and analyze financial reports to identify trends and opportunities for growth.

  • Manage payroll, budgets, and revenue forecasting to ensure profitability.

  • Oversee purchasing and inventory control to maintain cost efficiency and brand standards.

  • Optimize staff and patient scheduling to maximize productivity and service capacity.

  • Support leadership in developing business strategies to drive revenue and client retention.
Marketing & Brand Development

  • Develop and execute marketing initiatives to enhance brand visibility and maintain a polished, consistent image.

  • Oversee promotional campaigns, events, and partnerships to attract new clientele and strengthen loyalty.

  • Collaborate with providers and marketing teams to showcase treatments, products, and results-driven outcomes.

  • Maintain a luxury-standard environment that reflects the brand's aesthetic and reputation.
Client Experience & Service Excellence

  • Cultivate a warm, professional, and elevated atmosphere for all guests.

  • Implement service standards and training programs to ensure an exceptional client journey from booking to follow-up.

  • Proactively manage feedback and resolve client concerns with discretion and professionalism.

  • Support front desk operations to ensure efficiency, hospitality, and brand alignment.
Team Leadership & Human Resources

  • Recruit, train, and develop a team of high-performing professionals committed to excellence in aesthetics and client care.

  • Conduct regular performance evaluations and implement staff development plans.

  • Foster a positive, collaborative, and motivated work culture.

  • Lead by example-demonstrating professionalism, warmth, and a genuine passion for beauty and wellness.
Operational Excellence

  • Oversee all daily spa and office operations, ensuring seamless coordination across departments.

  • Maintain compliance with company policies, safety standards, and industry regulations.

  • Monitor treatment schedules, facility appearance, and service flow to optimize the client experience.

  • Keep current with industry trends, products, and technologies to guide business decisions.
Qualifications

  • Minimum 3 years of management experience in a medical spa, aesthetic clinic, or luxury wellness environment (required or strongly preferred).

  • Strong leadership and communication skills with a hands-on management style.

  • Proven success in meeting revenue goals and driving team performance.

  • Experience in marketing, sales, or client relations within the aesthetics industry.

  • Proficiency with practice management or scheduling software and Microsoft Office Suite.
