Accounts Receivable (AR) Specialist – Job Description

Summary:
The Accounts Receivable Specialist is responsible for managing the full-cycle accounts receivable process, ensuring timely and accurate billing, customer payments, and account reconciliation. This role supports the finance team by maintaining accurate records, resolving discrepancies, and delivering exceptional customer service to internal and external stakeholders.


Key Responsibilities:

  • Prepare and issue invoices accurately and on time.

  • Process customer payments (ACH, wire, check, credit card) and apply them to accounts.

  • Monitor aging reports and follow up on overdue accounts.

  • Reconcile customer accounts and investigate payment discrepancies.

  • Maintain detailed and organized AR files and documentation.

  • Respond to customer inquiries regarding invoices, statements, and account balances.

  • Assist with month-end closing activities including reporting and reconciliations.

  • Support collections efforts by coordinating with customers and internal teams.

  • Ensure compliance with company policies, accounting standards, and audit requirements.

  • Identify process improvement opportunities within the AR workflow.


Qualifications:

  • Associate’s degree in Accounting, Finance, or related field

  • 1–3 years of accounts receivable or general accounting experience.

  • Strong understanding of accounting principles and AR processes.

  • Proficiency in accounting software (e.g., SAP, NetSuite, QuickBooks, Oracle).

  • Advanced Excel skills (pivot tables, v-lookups, formulas).

  • Strong communication and customer service skills.

  • High attention to detail and accuracy.

  • Ability to prioritize tasks and meet tight deadlines in a fast-paced environment.


Preferred Skills:

  • Experience with cash applications and collections.

  • Familiarity with billing portals and EDI invoicing.

  • Knowledge of ERP systems and automated AR tools.
