Accounts Payable Supervisor (NetSuite Required)
Position Overview
We are seeking a detail-oriented and experienced Accounts Payable Supervisor to lead our high-volume AP function. This role is responsible for overseeing the full-cycle accounts payable process, ensuring accuracy, timeliness, and compliance across multiple business units. The ideal candidate brings strong NetSuite expertise, a solid understanding of accounting principles (including COGS), and the ability to manage both processes and people in a fast-paced environment.
Key Responsibilities
- Oversee and manage the full-cycle accounts payable process, including invoice intake, coding, approvals, and payment processing
- Supervise AP staff or function, providing guidance, training, and performance oversight
- Perform and review three-way matching (purchase order, receipt, invoice) within NetSuite
- Process high-volume invoices (1,000 per week), including manual entry from external and non-standard sources (e.g., handwritten invoices)
- Ensure accuracy of invoice data, including dates, amounts, and vendor details
- Manage payment processing, including coordinating ACH transactions with banking partners and updating payment status in NetSuite
- Support a multi-site / multi-branch environment, ensuring consistency in AP processes across locations
- Review and assign proper general ledger coding, ensuring alignment with the chart of accounts
- Analyze and classify expenses appropriately (e.g., COGS vs. SG&A vs. other categories)
- Partner with internal stakeholders (operations, procurement, accounting) to resolve discrepancies and improve workflows
- Identify and implement process improvements and automation opportunities within the AP function
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field preferred
- 5 years of accounts payable experience, including high-volume processing
- Prior supervisory experience OR strong experience in a senior AP/Accounts Payable Accountant role
- Hands-on experience with NetSuite, specifically AP and General Ledger modules
- Strong experience with three-way matching processes
- Experience working in a multi-entity or multi-location environment
- Solid understanding of accounting principles, including:
- Chart of accounts
- General ledger coding
- Cost of Goods Sold (COGS) vs. operating expenses (SG&A)
- Experience managing manual payment processes (including ACH setup and tracking)
- Demonstrated ability to drive process improvements and automation initiatives
- Strong attention to detail and ability to manage large volumes of data with accuracy
Preferred Qualifications
- Experience working with subcontractors or in industries such as construction, field services, or similar
- Familiarity with expense classifications such as rent, fleet, and project-based/vendor invoices
- Proven ability to improve and streamline AP workflows through automation
