Job Summary
The Accounts Payable Specialist is responsible for managing the company’s daily payment operations, ensuring all vendor invoices are received, approved, coded, and paid in a timely and accurate manner.
Key Responsibilities
- Invoice Processing: Receive, review, verify, and enter vendor invoices into the accounting system (ERP).
- Approval & Coding: Match invoices with purchase orders (POs) and receiving documents; code expenses to the appropriate general ledger accounts.
- Payment Management: Prepare weekly check runs, ACH transfers, and wire transfers to ensure vendors are paid within terms.
- Vendor Relations: Maintain vendor master files and respond to vendor inquiries regarding payment status.
- Reconciliation: Reconcile vendor statements to ensure accuracy and resolve any discrepancies.
- Expense Reports: Process employee expense reports for reimbursement, verifying compliance with company policies.
- Month-End Support: Assist with month-end closing, including accruals and reconciling AP account balances.
- Compliance & Tax: Ensure 1099 compliance and support annual audit requests.
- Education: Associate’s degree in Accounting, Finance, or equivalent work experience.
- Experience: 1–3 years of experience in accounts payable or general accounting.
- Technical Skills: Proficiency in Microsoft Office Suite (especially Excel) and experience with ERP systems (e.g., NetSuite, SAP, Oracle, Yardi, QuickBooks).
- Attention to Detail: High level of accuracy in data entry and invoice verification.
- Communication: Strong verbal and written communication skills for vendor and internal team collaboration.
- Organization: Strong organizational skills with the ability to manage high-volume workloads and meet deadlines.
