We’re partnering with a highly respected organization to identify a proactive, detail?oriented Executive Assistant / Investor Relations Coordinator to support senior leadership and play a key role in investor communications. This position is ideal for someone who thrives in a fast?paced environment, consistently demonstrates professionalism and discretion, and enjoys being a trusted partner to the C?suite.

What You’ll Do

Executive & Administrative Support

  • Provide high-level administrative support to the CFO and CAO, including daily calendar management
  • Coordinate and schedule internal and external meetings, including conference room bookings and catering
  • Draft professional correspondence, reports, and documents on behalf of leadership
  • Manage travel arrangements, expense reports, and incoming communications
  • Screen calls, prioritize requests, and ensure timely follow-up
  • Maintain strict confidentiality with sensitive information and documents
  • Create and update Excel spreadsheets, PowerPoint presentations, and other materials
  • Handle mail processing, FedEx packages, scanning, copying, and document organization
  • Support general administrative needs and special projects as assigned
  • Stay adaptable—able to reprioritize quickly in a dynamic environment while maintaining accuracy

Investor Relations Coordination

  • Maintain and organize the investor portal, including reports, distributions, and correspondence
  • Manage investor inquiries, document requests, and ongoing communications
  • Conduct regular audits of the investor database to verify contact, wire, tax, and commitment information
  • Coordinate annual mass investor mailings and customized mail merges (digital and physical)
  • Track and manage communications for new funds and investors
  • Support the planning and coordination of the annual investor conference, serving as the primary point of contact for presentation preparation
  • Oversee distribution of quarterly and annual reports, capital account statements, capital calls, and investor notices
  • Coordinate annual investor tax distributions, including 1099s, K?1s, and demand letters

What We’re Looking For

  • Bachelor’s degree required
  • Minimum of 3 years supporting senior-level or C?suite executives
  • Background in finance or legal environments strongly preferred
  • Highly organized with exceptional attention to detail
  • Strong written and verbal communication skills
  • Advanced professionalism and discretion when handling confidential matters
  • Proactive, solutions-oriented mindset with a desire to improve processes and efficiency
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word); comfort with databases and portals a plus
