Vaco is assisting a Birmingham client who is looking for an organized and proactive Office Manager to be the backbone of their office operations.

Job Summary:

As the Office Manager, you will be responsible for overseeing the day-to-day administrative and operational functions of our office. Your role will ensure that the office runs smoothly, efficiently, and is a productive workspace for their team.

Key Responsibilities:

  • Office Administration: Manage office supplies, equipment, and facilities. Coordinate office maintenance and repairs.
  • Administrative Support: Provide administrative support to executives and staff, including scheduling meetings, handling correspondence, and managing office documents.
  • Financial Duties: Assist with budget management, invoice processing, and expense tracking.
  • Human Resources: Oversee onboarding of new employees, maintain employee records, and assist with HR-related inquiries.
  • Event Coordination: Plan and organize office events, meetings, and company gatherings.
  • Communication: Serve as the main point of contact for internal and external communications. Handle inquiries and address concerns promptly.
  • Compliance: Ensure the office complies with health and safety regulations and company policies.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • 3 years of experience in office management or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Problem-solving skills and a proactive attitude.
