Position Summary:
We are seeking motivated and detail-oriented Administrative Support to join our HR and Benefits team. This temporary position provides essential support to the Benefits Office, which manages health and pension plans for staff. The ideal candidate will have 2-4 years of administrative experience and 1-3 years in HR, emphasizing confidentiality, compassion, and professionalism. 

 
Key Responsibilities:
  • Annual HealthCare Open Enrollment Process:
    • Support the Healthcare Open Enrollment process and meetings.
    • Ensure proper completion of forms before forwarding to vendor for processing.
    • Assist with back-end follow-up and processing of Enrollment and Waiver Forms.
    • Respond, direct, and forward open enrollment calls, accordingly.
  • Communication Management:
    • Answer a high volume of phone calls
    • Reply and manage email correspondence efficiently.
    • Prepare correspondence related to HR and benefits inquiries.
  • Administrative Support:
    • Assist with job postings, the onboarding process, and coordinate related documentation.
    • Support various HR projects and events, including planning and coordination.
    • Follow up with vendor partners and prepare invoice vouchers for payments.
    • Update the Health and Wellness Page to ensure accurate and timely information.
    • Maintain and document relevant decisions and correspondence in electronic files.
    • Monitor calendar and schedule call-backs and meetings as needed. 
  • Board Meeting Support:
    • Assist with preparing, sending, and organizing board meeting content.
    • Take or edit notes during board meetings as needed, ensuring accurate records are maintained.
  • Presentation Support:
    • Assist with creating and running slide presentations for meetings and training sessions.
    • Ensure that all materials for presentations are accurate, well-organized, and professionally formatted.
  • Event Planning and Coordination:
    • Bring a creative approach to media and event planning, contributing innovative ideas for projects and initiatives.
  • Front Desk Coverage:
    • Occasionally provide reception and front desk coverage, welcoming visitors and directing inquiries as necessary.
Experience:
    • 2-4 years of experience as an Administrative Assistant.
    • 1-3 years of experience in an HR function preferred.
 
Skills:
    • Strong verbal and written communication skills.
    • Excellent organizational and multitasking abilities.
    • Proficient in Microsoft Office (Word, Excel, PowerPoint) and HR software.

    • Compassionate and approachable, with a reliable work ethic.
    • Detail-oriented with a commitment to accuracy.
    • Ability to handle confidential information responsibly.

  • the individual’s skill sets, experience and training;
  • licensure and certification requirements;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
