HR & Office Manager
General Summary
We are seeking an experienced HR & Office Manager to oversee the organization’s day-to-day HR, office administration, and operational support functions. This is a hands-on role for someone who can balance people leadership, employee support, operational administration, and continuous improvement.
The successful candidate will work closely with leadership and employees across the organization, ensuring effective processes, strong employee support, and a well-organized workplace.
Key Responsibilities
Leadership & Operations
- Provide leadership and oversight across assigned operational and administrative functions.
- Set and monitor performance expectations, provide coaching, and support employee development.
- Identify training and cross-training requirements and coordinate appropriate development opportunities.
- Develop, maintain, and improve departmental policies, procedures, and processes.
- Monitor workloads and staffing requirements to support effective service delivery.
- Promote quality, accuracy, consistency, and continuous improvement.
- Analyze operational activity and prepare reports and recommendations for senior leadership.
- Participate in recruitment, performance management, employee development, and other people-management activities.
- Support special projects and other initiatives as required.
Office & General Administration
- Develop and maintain organized office processes, policies, and procedures.
- Coordinate administrative and operational projects in partnership with senior leadership.
- Work with internal teams to identify opportunities to improve processes and operational efficiency.
- Manage general office communications, including calls, emails, visitors, mail, and inquiries.
- Maintain accurate organizational records, office equipment, and supplies.
- Coordinate mail distribution and other routine office administration.
- Provide administrative support to employees and assist with day-to-day workplace needs.
- Maintain confidentiality and exercise discretion when handling sensitive information.
- Support special projects and other administrative requirements as needed.
Human Resources
- Manage and administer a broad range of HR programs, processes, and employee services.
- Support all stages of the employee lifecycle, including recruitment, onboarding, employee relations, performance management, training, compensation, benefits, and offboarding.
- Manage full-cycle recruitment, including job postings, screening, interview coordination, references, background checks, and offer documentation.
- Coordinate onboarding activities, including documentation, orientation, system access, equipment, and training.
- Maintain accurate and confidential employee records and HR documentation.
- Coordinate payroll administration and liaise with the external payroll provider to ensure accurate and timely processing.
- Prepare HR and payroll reports as required.
- Respond to employee questions and workplace concerns and support investigations and related documentation.
- Monitor employment legislation and HR best practices and recommend updates to policies and programs.
- Provide guidance and coaching to managers on employee relations and people-management practices.
- Liaise with external vendors, advisors, government representatives, and other third parties on HR-related matters.
- Participate in workplace health and safety initiatives and related committees.
- Maintain strict confidentiality in all HR and employee-related matters.
Internal & External Relationships
Internal:
Works closely with employees and management at all levels to support organizational objectives and effective day-to-day operations.
External:
Interacts with professional advisors, service providers, vendors, clients, and other external stakeholders as required.
Qualifications & Experience
- Bachelor’s degree in Human Resources, Business Administration, Business Management, or a related discipline.
- HR designation such as CHRP or CHRL is considered an asset.
- 5 years of progressive experience across HR, office administration, operations management, or a combination of these areas.
- Strong working knowledge of applicable employment standards, workplace health and safety, and other relevant legislation.
- Experience managing projects and implementing process improvements.
- Strong organizational, communication, and interpersonal skills.
- Demonstrated ability to work independently while managing competing priorities.
- Experience working in a professional services or regulated environment is an asset.
- Proficiency with Microsoft Office and HRIS/payroll systems.
- Strong judgment, discretion, and attention to detail when handling confidential information.
