Job Title: Accounts Payable Clerk

Job Overview:
We are seeking a highly organized and efficient Accounts Payable Clerk to join our restaurant team. This position will be responsible for processing and managing invoices, collaborating with restaurant managers, and ensuring accurate financial record-keeping. The ideal candidate will be tech-savvy, detail-oriented, and proactive in resolving issues quickly to support the smooth operation of our restaurant business.


Top Responsibilities:

  1. Invoice Review and Accuracy:

    • Open and review incoming invoices that come through the system or via email. Ensure invoices are accurate, match purchase orders or receipts, and are authorized by the appropriate personnel.
    • Address discrepancies by investigating invoice details, coordinating with restaurant managers, and ensuring proper documentation is available. Volume can range from [insert number] invoices per week/month.
  2. Invoice Entry into Accounting System:

    • Accurately enter all invoices into the accounting system, ensuring that all transactions are properly logged and categorized for timely payment processing.
    • Ensure data accuracy and keep records up to date, supporting the accounts payable team in achieving timely monthly closings.
  3. Collaboration with Restaurant Managers:

    • Work closely with restaurant managers to answer any questions regarding invoices, payment status, or discrepancies. Ensure that managers have all the information they need to approve invoices in a timely manner.
    • Proactively address any challenges and offer solutions for smoother invoice processing.
  4. Email Management and Quick Issue Resolution:

    • Monitor and manage email communications related to accounts payable issues, responding promptly to vendor inquiries, internal questions, and other payment-related concerns.
    • Address situations swiftly to ensure that invoices are processed on time and payment issues are resolved quickly to maintain strong vendor relationships.

Must Haves:

  • Prepared, Focused, and Motivated: Must be detail-oriented and able to handle multiple tasks in a fast-paced restaurant environment. The ideal candidate should be proactive, organized, and capable of working independently while managing high invoice volumes.

  • Tech-Savvy: Comfortable with accounting software (e.g., QuickBooks, Sage, or similar platforms) and proficient in using email and digital communication tools. Must be open to learning new systems and tools as needed.

  • Effective Communicator: Ability to work with various stakeholders, including restaurant managers and vendors, to resolve any invoice-related issues quickly and efficiently.


Qualifications:

  • High school diploma or equivalent required; associate degree in accounting or related field preferred.
  • Previous experience in an accounts payable role, preferably in the restaurant or hospitality industry.
  • Strong attention to detail and the ability to handle large volumes of transactions.
  • Excellent organizational and time-management skills.
  • Basic understanding of accounting principles.
  • Strong problem-solving abilities and a focus on customer service.
