About the Role

Vaco is conducting an urgent search for a Recruiting Operations Coordinator to support a high-performing talent acquisition (TA) team. This critical administrative role focuses on improving operational efficiency within the TA function. The ideal candidate will have strong administrative experience specifically within a TA environment and the ability to hit the ground running.

This role is a consultant position through Vaco, working on behalf of one of our confidential clients. Specific client details will be shared with shortlisted candidates.


Key Responsibilities

  • Administrative Excellence: Provide essential administrative support for the TA team to streamline workflows and reduce the operational burden on the strategic team.
  • Technology and Tools: Utilize SharePoint to manage internal resources, update visuals, and suggest usability improvements.
  • Data and Records Management: Maintain and audit candidate records, manage project calendars, and track operational tasks.
  • ChatBot Optimization: Improve chatbot functionality by identifying frequently asked questions and crafting effective responses.
  • Scheduling Assistance: Occasionally assist with scheduling interviews and coordinating logistics.
  • Documentation: Create templates, maintain procedural documents, and produce high-quality materials using Microsoft Office Suite (Word, PowerPoint).
  • Communication and Collaboration: Act as a key liaison for gathering and disseminating information, ensuring smooth team operations.

Must-Have Qualifications

  • Education: A Bachelor’s Degree (in any field) is required for this position.
  • Administrative Experience in Talent Acquisition: At least 2 years of hands-on experience providing administrative support specifically within a TA or recruitment-related environment.
  • Skills: Strong organizational, communication, and multitasking skills. Attention to detail and the ability to manage competing priorities are critical.
  • Technical Expertise: Proficiency in SharePoint and Microsoft Office Suite (Word, PowerPoint). Must be able to quickly adapt to new systems.
  • Work Style: A fast learner who thrives in a collaborative, fast-paced environment. Must be based in Miami, FL, and available to work on-site 3-4 days per week, with flexibility for 1-2 remote workdays.

Compensation & Contract Details

  • Hourly Rate: $28 - $32/hour on a W2 basis.
  • Contract Arrangement: Consultant position through Vaco (no third-party inquiries or C2C arrangements will be accepted).
  • Contract Duration: Initial 6-month engagement with potential for extension or conversion to a permanent role (not guaranteed).
  • Location: Miami, FL.
  • Interview Process: Two rounds – one virtual and one in-person.
