Job Description:

We are seeking an experienced and highly motivated HSI - Administrative Applications Specialist with expertise in UKG (Ultimate Kronos Group) and QGenda platforms to join our dynamic team. The role involves managing, supporting, and enhancing administrative applications, ensuring they run efficiently and effectively within the organization. The ideal candidate will possess a strong understanding of workforce management systems, scheduling tools, and integration with other administrative functions.

Key Responsibilities:

Application Management: Administer, configure, and maintain the UKG and QGenda applications, ensuring they align with organizational needs and workflows.

System Support: Provide technical support to end-users, troubleshoot issues, and resolve application-related problems in a timely manner.
Customization & Configuration: Assist in the setup, customization, and configuration of UKG and QGenda to meet business requirements. This includes working with business stakeholders to understand needs and translating them into system configurations.

Training & Documentation: Develop user training materials and conduct training sessions to ensure all staff can effectively use UKG and QGenda. Create and maintain system documentation and process guides.
Integration: Work with IT and other departments to ensure seamless integration between UKG, QGenda, and other internal systems (e.g., HRIS, payroll, scheduling).

Reporting & Analysis: Develop and run reports using UKG and QGenda to support decision-making processes. Analyze trends, gather insights, and make recommendations for system improvements.
System Upgrades: Coordinate with vendors and internal teams to test, implement, and deploy software upgrades and patches for UKG and QGenda systems.

Security & Compliance: Ensure that applications are used in compliance with organizational policies, data privacy regulations, and industry best practices.
Continuous Improvement: Stay up-to-date with the latest trends and updates in UKG, QGenda, and administrative applications. Suggest process improvements and system enhancements to streamline operations.

Experience:
  • Minimum of 3-5 years of experience working with UKG (Ultimate Kronos Group) and QGenda in an administrative or IT support role.
  • Demonstrated experience in the administration, configuration, and support of workforce management and scheduling tools.

Technical Skills:
  • Strong knowledge of UKG (Time and Attendance, Workforce Management, Scheduling) and QGenda (Healthcare scheduling) platforms.
  • Familiarity with HRIS systems, payroll, and other administrative applications.
  • Strong understanding of data reporting and analysis tools (e.g., Excel, SQL).
  • Problem Solving & Troubleshooting: Ability to analyze issues, troubleshoot, and propose solutions quickly and effectively.

Communication Skills: Strong verbal and written communication skills. Ability to train and support users at all levels of the organization.

Attention to Detail: Meticulous attention to detail with a focus on accuracy and compliance in system configurations, data entry, and reporting.
Project Management: Ability to handle multiple tasks and projects simultaneously, while meeting deadlines and maintaining a high level of service.

Desired Qualifications:
  • Experience with additional workforce management software or enterprise resource planning (ERP) systems is a plus.
  • Previous experience working in a healthcare or large organization environment, specifically with scheduling and workforce management processes.
  • Knowledge of system integration and API connections between applications.
